Find any record by what's written on it, not just its file name.
Every page scanned or uploaded into ALFO is run through OCR and indexed, so staff can search a name, an account number, or a phrase from inside the document and get to the file in seconds.
Why this exists
A file name tells you almost nothing about what is inside it. When a records clerk needs a specific inspection report, a signed lease addendum, or a vendor invoice from eighteen months ago, browsing folders by name wastes time that a HUD monitor's question, or an internal audit, does not leave room for. Search needs to look inside the document, not just at its label.
How it works
When a document is scanned or uploaded into ALFO, optical character recognition reads the text on the page, including scanned paper and photographed evidence, and adds it to a searchable index alongside the document's metadata: record type, department, date, and any tags applied during filing.
A search for a household name, a unit number, a vendor, or a phrase from inside a letter returns every matching document across departments the searcher has permission to see, ranked by relevance rather than sorted by folder.
Where it plugs in
Search covers everything stored across ALFO's content library, digital forms, and workflow attachments, so a records manager is not running separate searches in separate systems to reconstruct one answer.
Built for the moment someone needs a record fast
- OCR on scanned paper, photographed evidence, and native PDFs
