A contract that quietly expires is rarely a surprise to the system, it is a surprise to the person who was supposed to renew it. A lapsed insurance certificate on a construction contract, or a maintenance agreement that auto-renewed on unfavorable terms because no one flagged the notice window, are the kind of gaps that show up during an audit rather than before one.
How it works
Every contract in the repository carries its key dates: term expiration, insurance renewal, and any other obligation defined for that contract type, such as a required annual compliance filing or a performance bond renewal. Each date has an assigned owner and a lead time for the alert.
As a deadline approaches, the assigned owner receives an alert, with an additional notice to a supervisor if the deadline passes without action. The contract's status in the repository reflects whether it is current, approaching renewal, or past due, so the whole portfolio's obligation status is visible without opening individual files.
