Contract Lifecycle Management / Approvals

A decision trail for every contract that gets signed.

Route a contract through legal, finance, and department review automatically, with every comment, redline, and sign-off recorded against the document instead of scattered across email.

Why this exists

A contract that gets approved by email leaves no clean record of who actually reviewed it, what they flagged, or why a change was made before signature. When a board member or auditor later asks who signed off on a contract's terms, the answer often has to be reconstructed from memory and a scattered inbox.

How it works

A contract type, such as a construction agreement over a set dollar amount, is assigned a review sequence: department head, legal, finance, then executive sign-off. When a new contract of that type is submitted, it routes automatically through each reviewer in order, with the option to comment, request a change, or approve.

Every action is timestamped and attached to the contract record, building a decision trail that shows exactly who reviewed the document, what they changed or flagged, and when final approval was given.

Where it plugs in

Approval routing runs on the same workflow engine used across ALFO, and the completed decision trail is stored alongside the contract in the Central Contract Repository, so the approval history travels with the document permanently.

Built for the review chains contracts actually need

  • Routing rules by contract type, department, or dollar threshold
  • Comments and requested changes recorded against the contract
  • Alerts when a reviewer has not acted within a set number of days
  • A permanent, timestamped decision trail attached to the signed contract
