What is Compliance Navigator AI?
Compliance Navigator AI is a housing-focused approach to organizing, retrieving, and governing tenant and participant documentation through FileVision’s Electronic Tenant Records capabilities. It brings records, workflow status, checklists, and supporting evidence into structured electronic files. It is designed to support compliance work, but agency staff and counsel remain responsible for eligibility determinations, program decisions, and legal interpretation.
Is Compliance Navigator AI a replacement for our housing management system?
No. FileVision ETR is positioned as a specialized tenant-record and document-workflow system, not a full PHA ERP, rent ledger, or waitlist-calculation engine. It can complement existing housing management, landlord portal, and Microsoft environments by organizing the documentation connected to those processes. Integration requirements, available data exchanges, and configuration details should be confirmed during planning.
Which housing programs can the platform support?
The platform can organize documentation for public housing resident files, Housing Choice Voucher participant files, Project-Based Voucher and RAD records, and mixed-finance program records. It supports the records surrounding intake, eligibility, recertifications, inspections, correspondence, grievances, and lifecycle events. The system organizes supporting evidence; it does not make program eligibility or financing decisions.
How does transaction-based file organization work?
Transaction-based organization groups records around the event they support rather than storing them only by document type. For example, forms, notices, verifications, and approvals for an annual recertification stay together in that transaction. This structure mirrors how housing staff work, helps reviewers assess completeness, and makes it easier to retrieve the full documentation trail for a specific household event.
Can staff manage annual and interim recertification documents?
Yes. FileVision can keep annual reexamination and interim-change documentation, including forms, evidence, notices, checklists, and approvals, within the relevant household file. Workflow status and configurable alerts can help teams monitor incomplete items and pending dates. The platform supports organized documentation and follow-up; the agency retains responsibility for recertification decisions and required calculations.
How are confidential tenant and accommodation records protected?
Role-based access controls can limit tenant, grievance, reasonable-accommodation, and other confidential records to authorized staff based on their responsibilities. This helps agencies separate access to sensitive case information while preserving a complete, retrievable record for permitted users. Specific permission design, audit-detail retention, and security configuration should be established according to each agency’s policies and requirements.
Can we convert paper tenant files to electronic records?
Yes. FileVision supports document capture, scanning, and import so agencies can digitize legacy paper records and add approved electronic documents as they arrive. OCR, indexing, metadata, and enterprise search can improve retrieval after records are captured. Bulk conversion scope, document preparation, indexing rules, and quality-control procedures should be defined as part of the implementation plan.
How does the system support HUD reviews and audits?
FileVision helps teams keep review documentation organized, complete, and easier to retrieve when HUD or internal reviewers request records. Checklists and workflow status can surface missing documents, while audit trails and version history support accountability. The system improves record readiness, but the outcome of any audit, monitoring review, or compliance determination depends on agency practices and documentation.
