What is the US Housing Compliance Portal?
The US Housing Compliance Portal provides access and support for FileVision’s Electronic Tenant Records (ETR) solution. ETR is a purpose-built document and tenant-record management platform for housing authorities, public housing agencies, and community development organizations. It organizes records by household and transaction, helping staff retrieve documentation for intake, recertifications, inspections, notices, grievances, and other compliance-related work.
How do authorized staff access tenant records?
Authorized users access records according to role-based permissions configured for their agency. This approach helps ensure that staff can view the files and functions required for their responsibilities while limiting exposure to confidential information, including accommodation and grievance records. Agencies should define user roles, access levels, and approval responsibilities as part of their implementation and internal records-governance practices.
Can FileVision ETR replace our housing management or PHA system?
No. FileVision ETR is designed as a specialized electronic tenant-record, document-management, and workflow platform rather than a full PHA ERP or housing management system. It complements existing occupancy, waitlist, accounting, and landlord systems by organizing the supporting documents, correspondence, checklists, approvals, and transaction records associated with housing operations.
What documents can be stored in ETR?
ETR can organize a broad range of housing documentation, including applications, eligibility evidence, leases, addenda, inspections, income verifications, recertification forms, notices, correspondence, grievance materials, accommodation requests, and move-out records. Files are organized by household and lifecycle transaction, keeping related documents together instead of separating them only by document type.
Does ETR support annual and interim recertification records?
Yes. ETR keeps annual recertification and interim-change documentation together within the relevant household file. Staff can organize supporting evidence, forms, notices, approvals, and checklists, then use workflow status and configurable reminders to monitor pending activity. The agency remains responsible for determining eligibility, applying policy, and completing required program calculations.
Can we search scanned documents and legacy files?
ETR supports document capture, scanning, import, OCR, metadata indexing, and enterprise search to make records easier to locate. Agencies can digitize paper files as they arrive or import approved electronic documents into structured files. OCR improves retrieval, but scan quality, document format, and agency configuration can affect the accuracy of extracted text.
How does FileVision help with HUD reviews and audits?
FileVision helps teams keep documentation organized, complete, and retrievable when HUD, internal reviewers, or authorized external auditors request records. Audit trails and version history can provide visibility into file activity, changes, and approvals. The platform supports audit readiness, but an audit or monitoring outcome remains dependent on each agency’s program administration, documentation, and compliance practices.
When is FileVision support available?
FileVision provides trained support staff Monday through Saturday from 9am to 8pm. For access questions, technical assistance, or guidance on using ETR features, contact the support team with relevant details about the user, agency, and issue. Specific response timing and support procedures may depend on your organization’s service arrangement and platform configuration.
